About the role

You will be responsible for the oversight and coordination of all general patient administration required to support the day to day operations of a 5 chair private dental practice in Traralgon, Victoria. Our dental centre is home to a variety of dental practitioners and regular visiting specialists.

Primary responsibilities are to coordinate all patient related administration and lead the front office team to deliver exceptional customer service in order to run smooth day to day operations of the private practice.   

Responsibilities will be:

  • Managing the appointment schedules for multiple practitioners based on the practices booking strategies for optimal patient care
  • Leading, motivating and supervising other members of the reception team
  • Establishing steadfast relationships with practitioners, referring specialists and lab technicians and other stakeholders
  • Fielding high volume of calls effectively 
  • Manage front office reception email inbox
  • Maintain accurate and detailed patient records
  • Billing and invoicing, accounts receivable 
  • Debtors management and preparation of financial reports 
  • Maintaining appearance and order of dental office
  • Presentation and coordination of financial payment plans
  • Coordinating inter-disciplinary referrals and associated digital imaging
  • Implementing marketing campaigns that have been developed for you
  • Completing general reception and administrative tasks

About You

Skills

  • Ability to thrive in a fast paced environment and handle high volumes of calls
  • Perform well under pressure and proactively diffuse situations with a smile
  • Exceptional eye for detail 
  • High level of organisational and time management skills
  • Excellent customer service, communication skills, both written and oral
  • Strong competency in Word, Excel, the Google suite of products, and technology in general
  • Healthcare industry knowledge of quality patient record keeping and scheduling via multi practitioner booking systems

 You will also demonstrate:

  • Experience in a fast paced office environment 
  • Hospital, medical or dental administrative experience is highly desirable
  • Health fund claiming experience highly desirable
  • Ability to problem solving complex matters
  • Responsible use of PRODA delegation for Medicare and DVA processing
  • Processing and reconciling payments, health fund claims and other third party payers
  • Confident phone manner with proven abilities in persuasive telephone techniques
  • Ability to manage multiple projects simultaneously
  • Self-Motivated and professional at all times
  • Team orientated as well as the ability to work autonomously
  • Ability to master Practice Management Software (CORE Practice) quickly 
  • Superior organisational skills
  • Proficent computer literacy in order to high volumes of scanning, patient enquiry emails, sms confirmations, telephone and online booking systems

Applicants are required to have:

  • at least 2 years' experience in hospital, medical, allied health or dental reception
  • full VISA working rights, with no restrictions
