Medical Secretary

• Mornington Orthopaedic specialist rooms

• 28-34 part time hours job share

• Shared flexible roster

• Salary is negotiable dependant on skill levels and experience

The successful applicant will possess excellent communication, interpersonal and clerical skills. The ability to work as a flexible, committed & enthusiastic team member in a small busy specialist environment is essential.

 

The responsibilities for this role will include, but not limited to:

• Co-ordinating patient enquiries, appointments and surgical bookings

• Patient billing and debt control

• Reception and administrative duties

• Audio-typing

 

You will require the following attributes:

• Strong interpersonal and communication skills

• The ability to deal with a variety of tasks daily

• Attention to detail

 

The preferred skills include:

• Audio-typing

• Knowledge of medicare & health fund contracts

• Surgical estimates & billing - ECLIPSE

• Good understanding of medical terminology

• Previous experience with patient management systems eg. Genie

• I.T knowledge – e.g trouble shooting server issues

• Excellent communication skills, both written and verbal

 

Medical Secretary Key Responsibilities:

Supports Principal; screening and sorting mail/email, documents, and telephone calls; scheduling patient appointments and arranging referrals; billing patients and third-party payers; controlling accounts receivables; transcribing dictation; preparing medical reports, patient histories, operative notes, manuscripts, and correspondence; maintaining office files and patient records. Is proficient with business knowledge, organization, time management, customer service, verbal communication, PC proficiency, and reporting skills.

 

Medical Secretary Duties:

  • Represents Principal by screening incoming telephone calls; recording and transmitting messages; scheduling, receiving, and announcing scheduled patients / family and visitors; screening unscheduled patients and visitors; arranging referrals to other health care providers; scheduling appointments for consultations, x-rays, MRI's, CT scans, lab tests, physical therapy, etc.
  • Ensures Principal productivity by maintaining calendars; scheduling patient appointments; consultations; professional meetings, conferences; teleconferences, and travel.
  • Produces information by transcribing dictation, preparing medical reports and summaries, patient histories / forms / questionnaires, operative notes, manuscripts and correspondence; planning, organizing, coordinating and controlling projects.
  • Arranges hospital documentation, estimates, admission, advising relevant parties and cross checking details.
  • Provides historical reference by developing and utilizing filing and retrieval systems; maintaining patient records; recording all discussions.
  • Contributes equitably to accomplishing a fair share of the work load
  • Generates revenues by completing direct patient and third-party billing; monitoring accounts receivables; initiating collection calls and reminders.
  • Secures information by completing database back-ups.
  • Maintains patient confidence and protects operations by keeping information confidential.
  • Maintains office supplies inventory by checking stock; anticipating needs; placing and expediting orders; verifying receipt.
  • Maintains knowledge and keeps office equipment operating by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling for repairs.
  • Maintains quality results by following and enforcing standards.
  • Serves and protects the health care community by adhering to professional standards, hospital policies and procedures, Federal, State, and local requirements
  • Updates job knowledge by participating in educational opportunities; reading professional publications.
  • Enhances doctor office reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Carries out daily work activities in accordance with policies and procedures.
  • Contributes equitably to maintaining the cleanliness of the practice
  • Maintains practice dress standards
  • Maintains an understanding of medical terminology, medical and allied health professional organisations and relevant stakeholders
  • Maintains an understanding of the Medicare Benefits Schedule , health Funds, prostheses companies
  • Develops and maintains Problem Sensitivity -- The ability to tell when something is wrong or is likely to go wrong. It does not involve solving the problem, only recognizing there is a problem.
  • Develops and maintains Social Perceptiveness -- Being aware of others' reactions and understanding why they react as they do.
  • Teaches other staff as required
  • Any other administrative duties as directed by the Practice Manager or Principal
