Motivated, positive and conscientious assistant practice manager required to oversee and manage a small practice that is part of a larger multi-centre practice. This role reports to the Practice Manager with whom you will closely work. It involves a high level of accuracy, efficiency and initiative to build and consolidate the business during a rapid growth period. Permanent part-time 16 hours, flexible, 3 days per week.
Essential Duties and Responsibilities:
- Able to anticipate the needs of the practice and ensure smooth day to day operations to deliver optimal patient care.
- Work collaboratively and effectively with the Practice Manager and all staff members
- Lead a small team of receptionists and orthoptists
- Facilitate communication between the Practice Manager, medical and professional staff
- Design and implement rosters to ensure the needs of the clinic are met
- Contribute to the recruitment, employment and training of new staff members
- Contribute to staff reviews and appropriate performance management
- Oversee the maintenance of equipment at the practice
- Assume delegated authority when required
- Work at reception as required
Key Requirements
- Minimum 2 years’ experience as Practice Manager or Team Leader with proven record of leading teams to ensure high level of patient centred care, demonstrated through high levels of patient and referrer satisfaction.
- Human resource experience in managing a small team. This includes training, mentoring, performance appraisal and management
- Excellent communication skills including problem solving and negotiation
- Software Requirements: Microsoft Word, Deputy Rostering and Excel, preferred knowledge of Genie Medical software.
- Ability to multitask in a fast-paced work environment, with excellent time management and organisation skills.
- Knowledge of HPSS award 2010, Fair Work Act and OH&S responsibilities and the application in a clinical setting. (Attendance at Industrial relations workshops and training provided)
- Ability to write, implement and maintain policies and procedures
- Self-organisation and time management skills
- Ability to make strategic and financial decisions in the best interests of the business
- Financial experience including managing month end reporting, KPI’s, interpreting and summarising results from the practice management system
- Marketing and promotion of the business through networking and partnerships with referrers
- Knowledge of up to date privacy laws and confidentiality
- Experience with Medicare, DVA and ECLIPSE billing
- Familiar with risk management procedures in a private practice
- Excellent customer service
