Checklist for having the right system in your practice
|
Are you
|
Certain you have the right telephone system and backup
procedures?
|
|
At a glance
|
everything you need in a modern practice telephone system
|
|
You should
|
Go through this handy checklist to ensure you have everything
you need setup in your practice
|
- Practices with 3 or more doctors ideally should have a modern
PABX system that allows staff to place callers on hold and have
sufficient lines so that every doctor and at least one of the
practice staff can be on the phone at the same time.
- Ensure your provider has setup a recorded message in the event
the telephone system is unable to be answered (for power loss or
all lines busy) and that there are contingency plans for the event
of extended power loss or disaster.
- Ensure that the contact numbers of the service provider,
equipment provider and any other relevant technicians are recorded
on a laminated sheet near the phone system. You will obviously need
to use a mobile phone to contact these services in the event of a
system failure.
- Ensure your equipment provider has conducted training for
everyone in the use of the phone system and has provided a
sufficient number of quick reference training guides.
- Advise patients of the best times to call for certain enquiries
- such as results. This can avoid jamming the system during peak
times (usually first thing in the morning.)

Remember
|
The telephone call is your first and critical point of contact
with the patient and often it is when the duty of care begins.
